Job Summary: We are a husband-and-wife team running a growing, multi-location healthcare and wellness business, and we are looking for a detail-oriented, reliable Executive and Personal Assistant to help us stay organized, manage professional and personal scheduling, and support daily operations. This role involves calendar management, booking appointments, travel planning, home and property coordination, and occasional child transportation and assistance .

Key Responsibilities:

Executive Assistant Duties

  • Manage professional calendars and schedule meetings
  • Coordinate business travel, conferences, and hotel accommodations
  • Organize email inboxes, tasks, and document management
  • Book appointments for work-related vendors, contractors, and staff
  • Support communication and follow-up with team members and external partners

Personal Assistant Duties

  • Book personal appointments, restaurant reservations, and vacation travel
  • Run errands and manage tasks related residential and commercial properties (3 total properties) (e.g., service appointments, repairs, home maintenance)
  • Occasionally assist with home organization or light cleanup
  • Support grocery shopping, meal prep, and kids' school/activity transportation
  • Maintain family calendars and reminders for key appointments

Qualifications:

  • 2+ years experience as an Executive Assistant, Personal Assistant, or Office Manager
  • Strong organizational and multitasking skills
  • Proficient with Google Calendar, Gmail, and online booking tools
  • Excellent written and verbal communication skills
  • Must have a valid driver's license, reliable transportation, and clean driving record
  • Comfortable with children and pets

Preferred Skills (Not Required):

  • Background in healthcare, wellness, or customer service
  • Experience managing short-term rental properties or household staff
  • Familiarity with tools like Asana, Trello, or Notion
  • CPR/First Aid certified
