PURPOSE:
The primary purpose of this position is to assist Silver State Schools Credit Union to live out its Mission, "Excellent Member Service and Financial Solutions - For Life," by providing outstanding service to both members and internal members.

SUMMARY:
Acts as Executive Assistant to the President/CEO and performs the required tasks of the job. Aids the Board Chairman, Board of Directors and Volunteer Committees with administrative and clerical matters. Uses own discretion as to work procedures and is required to be tactful when dealing with difficult personalities from both inside and outside the Credit Union.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

• Maintains Executive calendars and schedules.
• Management of Administrative Filing system, ensures appropriate copies of correspondence or other printed matter are filed for easy retrieval when needed. Also responsible for maintaining employee loan files.
• Maintain official record of by-laws, rules, regulations, policies, etc.
• Receives and routes incoming mail and facsimile communications directed to the President/CEO, Senior Vice Presidents and Board of Directors and other volunteers. Locates and attaches appropriate files to correspondence to be answered by Executive or Board. Forwards invoices to appropriate SVP, and/or forwards to Accounts Payable.
• Communicates pertinent information, such as meeting notices, etc. to all employees or appropriate recipients.
  Intercepts executives' telephone calls, gives appropriate information to callers or routes call to appropriate executive or official and places outgoing calls.
• Greets visitors, ascertains nature of business, and conducts visitor to appropriate person.
• Transcribes notes for Board meetings, committee meetings, and other meetings when necessary.
• Organizes the production and distribution of monthly Board packets, to all appropriate parties as well as all correspondence for senior managers and volunteers. Prepares routine correspondence for signature of appropriate executive or official.
• Compiles and coordinates the production of reports for executives and volunteers. Assists the President/CEO in Board and committee related matters including; notice of meetings, preparation of the monthly reports and generally assisting volunteers in their respective roles.
• Set up meetings according to desired format ie. Virtual vs. live.
• Completes copying, binding, and presentation projects in a timely manner.
• Arranges conference registration and travel schedule and reservations for President/CEO, SVP's (when appropriate) and elected/appointed volunteers. Maintain accurate record of travel and conference attendance for Senior
• Management and volunteers each year. Develops schedule of all pertinent conferences for management and volunteers to attend.
• Maintains records of all expenses. Compiles and, submits monthly Visa Expense reports for Executive Team Prepare for, organize and arrange Credit Union sponsored meetings, dinners and social functions (other than those of a marketing nature).
• Maintain and replenish supplies in copy room and kitchen for Executive Team and Board use.
• Perform other duties as assigned.

EDUCATION and/or EXPERIENCE:
AA degree in Business or similar and a minimum of 2 years of experience at an executive support level; or a minimum of four years of related experience and/or training; or equivalent combination of education and experience.
